If you are staying as part of a conference, please direct any programme queries to your group leader.

Check in is from 14:00 at the Porters’ Lodge.

Check out is by 10:00 at the Porters’ Lodge.

Please vacate your room by this time (please be aware a fee of £50 is applicable if your key and fob is not returned to the Lodge by 10:00).

Secure luggage storage facilities are available if you arrive prior to 14:00 or need to remain in Oxford after 10:00. The Porters’ Lodge can provide you with access to this.

Accessibility: There are several steps up to the Main College entrance –  if you need level access or you have any other assistance needs, please let us (or your conference organiser) know in advance. Please phone the Lodge Reception on the day of your arrival if you will need an accessible entrance on 01865 279120.

You can use the main College entrance from 07:00-21:00 daily. When this entrance is locked you will need to use one of the ‘Late Gates’ (High Street Gate or Library Gate, see our Site Plan above) to come and go. These Late Gates can be opened using the fobs attached to your room key. A Porter can be reached in the Lodge 24 hours a day, if assistance is required there is an intercom at the main entrance.

A Night Porter is on duty from 22:30-07:00 each night – the Porter may be away from the main Lodge on security checks during this time period and may not be contactable from the intercom periodically. They can still be contacted by phone. During the night, the Night Porter should only be contacted by residents in the event of an emergency.

Our en-suite bedrooms in historic Back Quad and in the adjoining Carrodus Quad include the following:

  • small refrigerators
  •  tea and coffee making facilities
  •  toiletry pack on arrival
  •  free Wi-Fi access (see section below)
  •  daily servicing (weekdays)
  •  bath towel (we ask you to consider the environmental impact and re-use towels as far as possible. Please indicate to our housekeeping team if towels need to be refreshed)

Guests also have access to ‘pay per go’ (app) washing machines and dryers in the two Laundry Rooms in College, and irons/ironing-boards. These are located in the new kitchen yard, next to the Chapel entrance in Main College, and on the ground and third floors of Carrodus Quad. Instructions on using the app are displayed in these rooms. Washing powder can be purchased from local supermarkets – see ‘Local Amenties’ below.

A hairdryer can be borrowed from the Lodge (a refundable £10 cash deposit is required).

Please only bring electrical items which are in good working order. Our sockets are suitable for UK 3 pin plugs – please bring adapters for non-UK plugs.

For any room issues relating to cleaning, repairs or further supplies, please speak to our Lodge or housekeeping staff (known as ‘scouts’).

A Full English and Continental breakfast is served in our Hall between the following times:

07:45 – 08:45 (cleared promptly at 08:45) Monday to Friday

08:15 – 09:15 (cleared promptly at 09:15) Saturday and Sunday

Occasionally these times are subject to change, and your conference organiser or our Lodge will inform you on check in if different to above.

For lunch and dinner times, please refer to your conference programme.

If you have a dietary requirement, please make sure your conference organiser is aware. If you are a bed and breakfast guest, please let our serving staff know.

We advise that it is your responsibility to query the ingredients in a dish if you think they may be unsuitable for your diet – please check with our serving staff.

QueensGuest-The_Cloud

You are welcome to use the free wireless Internet access managed by “Sky Wi-Fi” (The Cloud).

If your home institution is part of the Eduroam network then you can connect to Eduroam here in Oxford rather than using Sky Wi-Fi (The Cloud). Ask your home institution’s IT team for help getting connected to Eduroam before coming to Oxford.

The free wireless service is powered and controlled by “Sky Wi-Fi”. If you already have an account with them, you will be able to use your existing login details.

If not, then you can create an account before you arrive in College by visiting their website. Setup is quick and simple and only takes a few steps. Or you can create an account easily from a mobile, tablet or laptop once you arrive in College.

Simply connect your device to QueensGuest-The_Cloud wireless network and open a web browser. This should redirect you to Sky Wi-Fi (The Cloud) registration/login page.

Computer, Photocopying and Printing Facilities

The Moffatt Room, located in Back Quad Staircase 6, is open for use by all conference guests. The room contains four computers and two printing/photocopying machines which can be used by delegates and accessed with the conference’s unique log-in code. The code can be obtained from your conference organiser. All printing/photocopying will be charged to your conference’s account.

The majority of the current College buildings were erected in the 17th and 18th centuries. There are many uneven floor surfaces and old staircases. Please take care when moving around the College. Please note that the windows are not restrained and should not be opened beyond 10cm for your own safety. Please do not attempt to access any balconies or balustrades or to reach or hang anything out of windows.

The Library is not open to the public as it is a working library, used by postgraduate and undergraduate students. Postgraduate students are in College for 51 weeks each year and the Library is in constant use by them throughout their time at Queen’s.

The Fellows’ Garden is also not accessible to the public, however guests are welcome to make use of Drawda Garden for relaxation. Please be advised these are quiet spaces, as study and research will be taking place in the offices and  rooms surrounding these gardens.

All areas in College, including the grounds are strictly non-smoking (including e-cigarettes).

As a guest in our College, all points of your visit have been considered to ensure your safety and reassurance for you during your stay.

Prior to arrival

If you are arriving from outside of the UK please check all travel requirements on the UK government website: Travel to England from another country during coronavirus (COVID-19) – GOV.UK (www.gov.uk)

If you are displaying any COVID-19 symptoms please do not come to the College, stay at home.  Call 111 for further guidance or www.111.nhs.uk/covid-19 .

Bring a face covering or mask, as guests are asked to consider wearing a face covering in crowded, enclosed spaces, in line with UK Government guidance. The Porters’ Lodge does not keep a supply of face coverings.

During your stay

  • Consider wearing a mask in crowded, enclosed spaces
  • Open windows where possible to ventilate rooms
  • Hand sanitiser is available from dispensers outside every building and staircase entrance

If you test positive for COVID-19 during your stay with us

Self-isolation is no longer a legal requirement if you test positive for COVID-19. However if you are well enough to do so, you are encouraged to travel home (in your own vehicle if at all possible) and with the use of a high grade face covering if on public transport.

If you test positive and you elect to self-isolate in your College bedroom (for the duration of your booking), our staff operation unfortunately cannot extend to room service and the delivery of meals to you in your room. If you are staying as part of a conference, we will do our best at the conference meal time, to provide the same meal in a takeaway container and you may arrange with your conference organiser to have this delivered to your room. Alternatively, you may order a non-College delivered takeaway (i.e. via Deliveroo or Uber eats) which you can order to arrive at the Lodge, this will still require your conference organiser (or a friend you are staying with) to bring the food to your room.

We are unable to offer a period of isolation in your room beyond your booking (or conference duration). Once your booking ends, you will need to vacate your bedroom.

Our Team 

  • All staff have received comprehensive COVID-19 staff induction to explain how to interact and deliver service in line with the latest Government guidance and the College’s COVID-19 risk assessment.
  • All staff have access to Lateral Flow Tests and are encouraged to take these twice weekly. Staff are trained in what to do if they feel unwell. Staff will not leave home if they are showing any symptoms. If they feel unwell at work, they will return home immediately and self isolate and take a PCR test.
  • Appropriate PPE Equipment is provided
  • Increased hand-washing and hand sanitiser available throughout the College.

The fire alarm sounds like a siren. Upon hearing the fire alarm vacate the building immediately and go to your nearest fire evacuation assembly point (usually the middle of the Quad or garden closest to you) and report to the fire marshal and your Conference Organiser.

The College occupies older buildings which are extremely vulnerable to fire. Please read the fire notices in your room and familiarise yourself with the nearest assembly points. The site plan above also shows relevant assembly points.

Please alert the Lodge on check-in if you need assistance using the ordinary means of escape.

The College is equipped with a CCTV system which is monitored by the Porters’ Lodge.

For your personal safety please observe the following:

·       Always lock your door, even if you are only going out briefly

·       Do not let people into the College with you, unless they are registered members of your event. Remember, legitimate visitors will know how to gain entry

·       Please ensure the late gate closes fully behind you and do not prop the late gate open in any way

·       Please report any tailgaters to the Lodge immediately

·       If you invite friends to come to see you at the College, you should arrange to meet them at the Front Lodge, and let the Lodge know in advance. If you are part of a conference or summer school, prior arrangement for visits by guests should be made with your conference organiser. This will prevent visitors from embarrassment in being challenged if they are found on the staircases

·       Please report anything suspicious. Even if it turns out to be quite innocent subsequently, this can be very helpful.

There is a first aid trained member of staff on duty at all times in the Porters’ Lodge. During meal times, there are first aid trained staff in the Hall area as well.

A First Aid box is kept at the Porters’ Lodge.

The nearest A&E department and Minor Injury Unit is the John Radcliffe Hospital, approximately 15 minutes’ drive from Oxford centre. The emergency services (ambulance, fire and police) can be reached by calling 999.

The College has a Health and Safety policy (required by law) and a Code of Practice on sexual harassment, both of which can be requested from the Conference Office.

We kindly ask our visitors and guests to be aware of the College’s regulations to ensure a safe and satisfying stay with us.

For supermarkets and cash points, turn right out of Queen’s and continue on the High Street for 0.3 miles (7 minutes) until you get to a crossroads – this is Carfax and you will see Carfax Tower in front of you. To your left is St Aldates, which has Sainsburys and Tescos supermarkets. To your right is Cornmarket Street, which has banks with cash facilities and shops.

Continue straight onto Queen’s Street for Marks and Spencer and the Westgate Shopping Centre.

Alternatively, turn left out of Queen’s and walk down to St Clements for Sainsburys supermarket and cash facility (7 minutes).
